Mindacks is an AI governance and Human-Centred AI company. We also use AI tools internally to improve the quality and efficiency of our own operations. We believe in being transparent about how we use AI — both as a matter of principle and because transparency is core to our work with clients.

This page discloses how AI is currently used within Mindacks, the extent of human oversight applied, and what AI tools are not used for.


1. Our Guiding Principle

We apply the same standard to ourselves that we recommend to our clients: AI is a tool, not a decision-maker.

Every consequential decision at Mindacks — whether relating to client advice, content publication, programme design, or hiring — involves meaningful human review and accountability. AI tools are used to support and augment human judgment, not to replace it.

Client Advisory and ConsultingAI tools may be used to assist with research, data synthesis, and document drafting during consulting engagements. 3. What AI Is Not Used For

To be explicit about the boundaries of AI use within Mindacks:

  • AI is not used to make autonomous hiring or personnel decisions.
  • AI is not used to generate client-facing reports or advice without human review and sign-off.
  • AI is not used to process sensitive personal or financial data without appropriate safeguards.
  • AI is not used to interact with clients or learners autonomously without their knowledge.
  • AI is not used to create or distribute content that misrepresents facts, impersonates individuals, or constitutes misinformation.

4. AI Tools We Use

We use a range of commercially available AI tools and platforms as part of our operations. These include, but may not be limited to:

  • Large language model (LLM) assistants for drafting and research support.
  • AI-powered transcription and summarisation tools for internal meetings.
  • AI scheduling and productivity tools.

We carefully evaluate AI tools before adoption, including reviewing their privacy practices, data handling policies, and alignment with our ethical standards.

5. Data Used in AI Tools

We are careful about what data is shared with AI tools:

  • We do not input personally identifiable client data into third-party AI tools without explicit consent and appropriate safeguards.
  • We anonymise or generalise information before using it in AI tools for research or content support.
  • We review the data retention and training practices of AI tools we use to minimise risk to client confidentiality.

6. Labelling AI-Assisted Content

Where content has been substantially written or generated with the assistance of AI tools, we aim to disclose this appropriately. All AI-assisted content undergoes human review and is the responsibility of the named human author or Mindacks as a brand.

7. Continuous Review

The AI landscape evolves rapidly. We review our AI tool usage, policies, and practices on a regular basis to ensure they remain aligned with our ethics principles, legal obligations, and client expectations. We update this disclosure accordingly.
